Administrative coordinator / Administrative assistant

Westbank Projects Corp, a leading real estate developer in Downtown Vancouver, is looking for an energetic self-starter to join the team. A detailed-oriented team member who is adaptable and likes being challenged is required. Computer skills are a must and including but not limited to experience using Excel and Word. This is a fast paced environment and the individual must be able to handle multiple projects and work towards deadlines with a strong sense of urgency when needed.


We are looking for a reliable Office Administrator that will mainly focus on executing Purchase orders and Contracts for many projects in our portfolio. The ideal candidate will have impeccable organization skills, detail orientation and a great deal of accuracy. The office administrator ensures all paperwork is executed correctly and tracked in a fast paced environment.


  • Preparing contracts and purchase orders while compiling and verifying back up documentation
  • Perform basic math calculations Working closely with the manager to ensure PO’s/contracts are created in a timely fashion to avoid delays in payments to vendors
  • Manage the flow of contracts/ PO’s according to corporate policies to ensure proper execution
  • Effective communication through email, in person or telephone with both internal staff at all levels and external suppliers, vendors and management teams
  • Ensure all paperwork and daily tasks are completed accurately and on time
  • Resolving problems in a courteous, professional and timely manner
  • Maintaining commitment trackers for each project
  • Communicate with other departments and managers to gather accurate/missing information
  • Working alongside the accounting team to resolve any discrepancies that can occur while they try to process invoices
  • Be proactive and resourceful whilst having a passion to resolve issues with little supervision, taking accountability for their job responsibilities
  • Enthusiastic with an ability to work in a fast paced environment
  • Other duties as assigned


  • Have strong multi tasking abilities, time management and organizational skills
  • Distinguished verbal and written English skills
  • Proficient computer skills particularly in Microsoft office: Outlook, Word & Excel
  • Attention to detail and high level of accuracy
  • Strong interpersonal & Organizational skills
  • Ability to maintain composure in a fast paced, multi tasked environment
  • 1-2 years in an administrative role
  • Experience in a contract admin or accounts payable position is an asset
